Every enquiry matters
Your enquiry follow-up checklist.
Ten small steps. None of them needs software, and all of them help.
Your enquiry follow-up checklist.
- 01
Reply to every enquiry the same day.
Even if it's just to say when you'll call back. A clear “we'll call you at 4 pm” beats silence.
- 02
List every place enquiries arrive.
WhatsApp, Instagram, website form, Google Business Profile, portals, phone, walk-ins. Most businesses find one they had forgotten.
- 03
Give each channel an owner.
One named person checks each channel, every working day, at set times.
- 04
Write your five most-asked answers once.
Keep them as saved replies so anyone on the team can answer well and consistently.
- 05
Make every first reply end with a next step.
A question, a time slot or a link. Never just “ok noted”.
- 06
Cover evenings and Sundays.
Decide who replies outside office hours, or set an honest auto-acknowledgement that says when you'll reply.
- 07
Confirm every booking in writing.
Date, time, address or link, and who they'll meet. Then send a reminder the day before.
- 08
Follow up twice, then stop.
A useful follow-up after two days and another after a week. Then leave the door open politely.
- 09
Keep one simple enquiry list.
Name, channel, date, status. A shared sheet is enough to stop enquiries slipping.
- 10
Ask permission before adding anyone to updates.
Only message people who contacted you or agreed to hear from you. It builds trust and keeps you within the law.
